5 AI tools that every HR professional can already use today (without IT knowledge)

Which AI tools are truly relevant for HR today?
That is perhaps the most frequently asked question during our conversations, training sessions and webinars. And rightly so: the AI market is evolving at lightning speed. Nevertheless, there are already many tools that you, as an HR professional, can use today — without technical knowledge, complex prompts or IT support.
We selected three accessible applications that we regularly recommend ourselves to clients. They fit well within HR practice and complement Copilot or ChatGPT nicely.
Beautiful.ai and AutoPPT – building clear presentations quickly
Ideal for:
- Presenting HR data or dashboards to management
- Structuring training sessions or workshops
- Employer branding or onboarding presentations
What does the AI do?
You add your own content — figures, text or key messages — and the tool does the rest: formatting, visuals and structure. This saves a great deal of PowerPoint work and gives your presentation a professional look.
Our experience
Beautiful.ai and AutoPPT often deliver a more consistent design than Copilot. The paid version of ChatGPT can also generate presentations, but sometimes lacks finesse in formatting.

Grammarly and Scribbr – error-free and accessible HR communication
Ideal for:

Grammarly goes beyond spelling. It analyses your sentence structure, tone and intent, and suggests improvements that align with your target audience. Scribbr focuses mainly on academic and business writing, making it ideal for HR policy documents or reports.

These tools specialise in language feedback — something that Copilot and ChatGPT are less strong at. Especially if you work in a multilingual organisation or write for diverse target audiences, they are a valuable addition.

HeyGen – AI for multilingual HR videos
Ideal for:
- Welcome videos for new colleagues in multiple languages

Our experience
While ChatGPT and Copilot are primarily focused on text and documents, HeyGen nicely complements the visual aspect. It saves time and makes communication more personal.

Most importantly, start small, test, and evaluate what truly delivers value for your organisation. AI does not have to be a large-scale project — it can simply be a smart assistant that makes your work easier.
